EXECUTIVE, HUMAN RESOURCES & ADMINISTRATION (5-MONTH CONTRACT – MATERNITY COVER)

The Executive, Human Resources & Administration is to assist the Human Resources & Administration Department in the human resource and administration functions in the office.

Reports to: Assistant Director, Human Resources


RESPONSIBILITIES

RECRUITMENT

  • Arrange for advertisement of job openings (interns/trainees/temporary staff)
  • Liaise with hiring managers on the arrangement of interviews
  • Manage the engagement of interns/trainees/temporary staff (from joining to exit)
  • Prepare employment agreements for successful candidates
  • Arrange medical examinations for new hires, when required
  • Provide pre-boarding information and conduct orientation to new hires

LEARNING & DEVELOPMENT

  • Ensure timely registration and update of training courses approved by the Management
  • Timely update of L&D attendance and expense record
  • Submit and keep records of all government grants/claims where applicable
  • Ensure timely submission of feedback/evaluation form by staff after attending the program/course
  • Work with L&D counterpart to conduct in-house training
  • Consolidate the L&D Plan from the staff performance management reports for monitoring and follow-up

EXIT MANAGEMENT

  • Prepare the exit administration and arrange for exit interviews when required
  • Ensure all company's items are returned by the staff during exit clearance

ADMINISTRATION (GENERAL)

  • Maintain an up-to-date HR/Admin file list, including archiving & destruction of old files
  • Ensure internal phone directory and organization details are updated with the latest information
  • Assist in employee engagement activities, admin meetings, townhalls and office functions
  • Raise purchase orders for payment of HR related purchases in Netsuite
  • Cover the main duties of HR/Admin team in their absence
  • Provide other administrative support as and when instructed by the Management (including CEO/ DCEOs, OD Project Director, Assistant Director, HR)

REQUIREMENTS

  • Minimum diploma and above
  • At least 1 year experience in general HR scopes
  • Detailed, accurate, and able to work independently as well as collaboratively as a team
  • Tech savvy and proficient in MS Office applications
  • Proactive attitude and display strong multi-tasking skills to meet deadlines
  • Good communication and interpersonal skills
  • High degree of professional integrity
